Description:
- Coordinate logistics for annual trade shows, including booth shipments, promotional materials, signage, and vendor communication
- Manage travel and lodging arrangements for sales team members attending events
- Track and maintain inventory of trade show assets and ensure timely delivery and returns
- Support quarterly internal events such as company summits, retreats, and department offsites
- Assist in venue sourcing, catering coordination, A/V setup, and event schedule planning
- Collaborate with the CEO, Director of Marketing, and HR to align events with company goals and culture
- Prepare event materials and collateral, ensuring consistent branding and messaging across all touchpoints
- Act as a liaison between internal teams and external vendors to ensure smooth execution
- Use tools like HubSpot, Asana, Monday.com, Canva, Zoom, and Zoom Events to manage workflows, communications, and deliverables
- Support lead tracking and post-event follow-up processes
- Reconcile event budgets and invoices, ensuring financial accuracy and vendor accountability
- Maintain organized calendars, checklists, timelines, and documentation for all events
- Take initiative to identify and solve problems before they arise, staying calm and solution-focused under pressure
- Jump in to support other projects as needed in a close-knit, collaborative team culture
Qualifications:
- 2–5 years of experience in event coordination, trade show planning, or logistics (B2B experience a plus)
- Demonstrated experience working with executive leadership and cross-functional stakeholders
- Comfortable working remotely; must be based on the East Coast or Southeast U.S. for alignment with team operations
- Strong organizational and project management skills; ability to juggle tight deadlines and shifting priorities
- Clear and confident communicator, both written and verbal
- Hands-on experience with tools like HubSpot, Zoom, Zoom Events, Canva, Asana, and/or Monday.com is a plus
- Self-starter who thrives in collaborative environments and isn’t afraid to pitch in where needed
- Must bring energy, initiative, and an ownership mentality to every aspect of the role
Compensation & Benefits:
- $65,000-75,000
