We are seeking a highly organized, technically curious professional to coordinate the equipment, vendors, and training required to successfully launch each franchise location.
The Fleet & Equipment Project Coordinator will manage the day-to-day coordination of the truck supply chain—from dealer engagement and upfitting through delivery, DOT requirements, safety preparation, driver/operator training, and operational readiness.
The role will also support bin installation operations, including site evaluations, installation coordination, contractor communication, and field documentation.
This is a hands-on, highly collaborative position requiring strong project management, communication, attention to detail, and the ability to keep multiple stakeholders moving toward a common deadline.
Key Responsibilities
Truck Supply Chain & Project Management

Coordinate the truck acquisition and upfitting process from initial dealer connection through delivery and operational launch.

Serve as the liaison between the company, franchisees, dealers, upfitters, and other vendors.

Maintain project schedules, open items, documentation, and deadlines for each truck.

Ensure dealers and vendors have the correct specifications, information, equipment, supplies, and timing requirements.

Identify delays or potential issues early and drive them toward resolution.

Provide clear, timely status updates to franchisees and leadership.
Truck Launch, DOT & Safety Readiness

Coordinate the administrative requirements necessary to prepare each truck for service, including DOT number and related documentation.

Coordinate driver/operator training, crane training, safety training, and on-site training schedules.

Work with franchisees to ensure required personnel and equipment are ready for service.

Maintain truck launch checklists and ensure required readiness items are completed before the truck enters service.

Help establish consistent truck, safety, training, and operational readiness standards.
Bin Installation & Site Operations

Develop working knowledge of the company’s bin systems, installation requirements, and site evaluation process.

Help create, update and maintain installation standards, checklists, and field documentation.
Systems & Vendor Coordination

Maintain organized project files, schedules, vendor information, and equipment records.

Build and maintain repeatable checklists and processes for truck acquisition, launch, training, and installation.

Establish productive working relationships with dealers, suppliers, contractors, and service providers.

Develop proficiency with truck support software systems (cameras, inspections, routing, telematics) as they are developed and released.

Identify recurring issues and recommend improvements to the company’s processes and systems.
What You’ll Do
Fleet & Equipment Coordination
- Coordinate truck acquisition, upfitting, delivery, and launch activities.
- Serve as the primary liaison between franchise owners, truck dealers, equipment vendors, contractors, and internal leadership.
- Track project timelines, documentation, open items, and deliverables.
- Ensure equipment and vehicle readiness for operational launches.
Vendor & Stakeholder Management
- Facilitate communication between vendors, franchisees, and internal teams.
- Provide regular project updates and proactively communicate delays or issues.
- Coordinate schedules, resources, and next steps to keep projects moving forward.
- Develop and maintain strong vendor and partner relationships.
Training, Safety & Operational Readiness
- Coordinate driver/operator training and safety-related initiatives.
- Support equipment readiness and launch checklists.
- Assist with implementation of standardized operating procedures and best practices.
Documentation & Process Improvement
- Maintain organized project documentation and records.
- Help create scalable processes, checklists, and operational standards.
- Support development of equipment installation documentation and field resources.
- Identify opportunities to improve efficiency and communication across projects.
What We’re Looking For
Required Qualifications
- 2+ years of experience in project coordination, operations, logistics, fleet support, construction, equipment management, supply chain, or a related field.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple projects and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Experience working with external vendors, customers, contractors, or business partners.
- Mechanical aptitude and the ability to understand equipment, vehicle, or industrial systems.
Preferred Qualifications
- Experience with commercial trucks, heavy equipment, construction equipment, fleet operations, or industrial equipment.
- Exposure to project management, logistics, supply chain, or field operations.
- Experience working in a startup or rapidly growing environment.
- Familiarity with CAD drawings, technical documentation, or installation processes.
- Knowledge of DOT, safety, or compliance requirements is a plus.
Compensation & Benefits
