Key Responsibilities:
- Oversee all stages of direct mail projects for assigned clients, including intake, timelines, documentation, quality control, and invoicing
- Coordinate with internal teams such as production, purchasing, creative, data services, and scheduling
- Act as the client’s representative within the Operations team to ensure work meets expectations
- Support senior project managers on more complex client accounts
- Maintain detailed records of client requirements and any changes
- Communicate project status clearly and regularly to clients
- Develop project plans, job instructions, and specifications for relevant departments
- Learn and apply knowledge of:
- Enterprise project management tools
- Direct mail production processes and specifications
- USPS guidelines and mailing procedures
- Internal workflows and client-specific requirements
- Create production samples for client review
- Monitor postage and inventory levels to prevent delays
- Generate project-related reports as needed
- Manage client relationships and coordinate with internal stakeholders
- Handle change management and cost tracking when adjustments are required
- Resolve client issues and escalate when necessary
- Support the sales team with project documentation and work statements
Qualifications:
- Bachelor’s degree or equivalent experience in a similar role (minimum 2 years of project coordination or related work)
- Prior experience in the print, direct mail, or marketing industry is a plus
- Strong collaboration and communication skills
- Comfortable working across multiple departments and assisting teammates as needed
- Ability to learn industry-specific guidelines, including USPS regulations
- Proficient in Microsoft Office
