About the Role

A professional services office in Huntsville, AL is seeking a polished and proactive Administrative Assistant to support front office operations while also providing dedicated administrative assistance to a senior leader. This is a highly visible role responsible for greeting guests, managing office coordination, and supporting daily administrative needs. The ideal candidate enjoys being the “go-to” person, thrives in a team-oriented environment, and is comfortable balancing customer service with behind-the-scenes administrative tasks. This position offers strong potential for permanent hire based on performance.
 
Key Responsibilities
Front Desk & Guest Relations
  • Serve as the first point of contact for all visitors and callers
  • Greet guests professionally and maintain a welcoming lobby environment
  • Answer, screen, and direct incoming calls
  • Maintain a clean, organized, and professional front office area
 
Office Operations & Facilities Support
  • Coordinate daily activities of office “runners,” including:
    • Coffee and refreshment setup
    • Mail sorting and postal runs
    • Printing, copying, and scanning requests
    • Errands and general office support
  • Communicate with building management and maintenance vendors
  • Schedule facility services and track resolution of office issues
  • Suggest and implement small process improvements to support workflow efficiency
 
Administrative Support
  • Provide daily administrative support to a senior leader, including scheduling, task follow-up, and general assistance
  • Assist project teams with occasional light administrative tasks
  • Support office leadership with additional administrative duties as needed
 
Qualifications
  • 1+ year of administrative, receptionist, or customer service experience
  • Strong communication and professional interpersonal skills
  • High attention to detail with the ability to multitask effectively
  • Comfortable supporting multiple team members and shifting priorities
  • Proactive, reliable, and eager to support a busy office environment

Pay: $22–$24 per hour
Schedule: Monday–Friday, 8:00 AM – 5:00 PM
Employment Type: Temp-to-Hire
