Essential Functions
- Provides high-level administrative support and assistance to the President & CEO and other assigned executive staff.
- Handles assigned research to obtain information, performs analysis and formulates reports required by the President for key decisions.
- Performs diversified administrative tasks including coordinating communications, responding to incoming calls and conveying important, detailed messages, managing calendar for President & CEO, drafting letters, memos, invoices, reports, and compiling other documents needed for internal/external meetings.
- Arranges travel and accommodations for executives.
- Schedules meetings on behalf of the President & CEO and executives.
- Attends meetings as needed, taking notes and recording minutes.
- Plans, coordinates, and organizes various company-wide events.
- Handles special projects and performs additional duties as assigned by President & CEO and executives.
- Facilitates communication to Board members to include information related to the annual board schedule, scheduling meetings, and other board related functions as needed and directed by the President & CEO or Board Secretary.
- Coordinates with the Operations and Facilities Department for accommodations needed related to meetings of the Board of Directors and other outside parties as requested by the President & CEO.
- Assists the Board Secretary with board related functions including distribution of materials prior to meetings, attendance at meetings/conference calls and taking minutes as needed.
- Maintains discretion and confidentiality while processing highly sensitive information.
- Assists in various projects and scheduling as needed.
- Other duties as assigned.
Education and Experience
- High School Diploma required.
- Associate or Bachelor’s degree in business related field preferred.
- 4 years of experience in an executive assistant role and/or equivalent experience in related area required.
Skills and Abilities
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Strong typing skills, clear and accurate writing, and careful attention to grammar in all communications.
