The Client Services Coordinator plays a key role in supporting client communications, case progression, and administrative operations within a fast-paced professional office. This individual will serve as a point of contact for clients, ensuring a high standard of service, responsiveness, and professionalism.
Schedule & Work Environment:
- Full-time, Monday through Friday, 9:00 AM – 5:00 PM
- Onsite role in a law firm/professional office setting
- Collaborative team environment
Client Communication & Support:
- Serve as a contact for client inquiries across multiple communication platforms
- Return all missed calls promptly, including those routed through an answering service
- Provide monthly updates to clients regarding application and reconsideration status
- Conduct proactive outreach to clients every 3 months to share case updates and help facilitate progress
- Notify clients of case outcomes and assist with next steps, including scheduling follow-up consultations
- Open, review, and appropriately file incoming mail on a daily basis
- Scan and maintain key case documents (e.g., official notices and determinations)
- Submit supporting documentation or correspondence to external agencies as needed
- Assist with coordinating appeals and, when necessary, complete certain appeal filings
- Provide backup support to paralegal staff as workload demands
- Deliver high-quality customer service with professionalism and empathy
- Effectively manage and de-escalate challenging client interactions
- Encourage client adoption of digital tools to improve communication and case visibility
- Strong customer service skills, particularly in managing sensitive or high-stress situations
- Legal experience preferred, but not required
- Excellent verbal and written communication abilities
- Highly organized with strong attention to detail
- Experience in administrative support, legal services, healthcare, or a related field preferred
- $40,000-$45,000 annual salary
