Position Summary
We are seeking a professional, customer-focused Receptionist to serve as the first point of contact for our office. This role is ideal for someone who thrives in a fast-paced professional environment and enjoys providing exceptional service to visitors, clients, and employees.
The Receptionist will manage front desk operations, answer and direct incoming calls, support administrative functions, coordinate visitor services, and serve as a key resource for office staff. The ideal candidate will have excellent communication skills, a polished demeanor, and a strong attention to detail.
Responsibilities
- Greet and welcome visitors in a professional and friendly manner
- Answer, screen, and direct incoming phone calls
- Provide outstanding customer service to clients, guests, and employees
- Manage visitor check-in procedures and parking validations
- Maintain a clean, organized, and professional reception area
- Receive, sort, and distribute mail, packages, and deliveries
- Schedule meetings and update calendars as needed
- Assist with conference room coordination and meeting support
- Order and maintain office supplies and inventory
- Draft and distribute professional communications and emails
- Maintain office records and administrative documentation
- Coordinate travel arrangements when requested
- Perform general administrative duties including filing, scanning, copying, and data entry
- Assist with special projects and other administrative tasks as assigned
Qualifications
- Previous experience as a Receptionist, Front Office Coordinator, Administrative Assistant, or similar role
- Experience working in a busy professional office environment
- Exceptional phone presence and customer service skills
- Strong verbal and written communication skills
- Excellent typing, proofreading, and grammar abilities
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel
- Strong organizational and time-management skills
- Ability to multitask and prioritize responsibilities effectively
- Professional appearance and demeanor
- Self-motivated, resourceful, and dependable
Education & Experience
- High school diploma or equivalent required
- Additional education or certifications in Office Administration are a plus
- Experience supporting a professional services environment is preferred
Physical Requirements & Work Environment
- Ability to sit, stand, and walk throughout the workday
- Ability to use standard office equipment, including computers, phones, printers, and copiers
- Standard office environment
- Occasional overtime may be required based on business needs
Additional Information
This position is contract-to-hire, with the opportunity for permanent employment after approximately 90 days. Successful candidates must be able to pass a background screening prior to hire.
