OVERVIEW
We are seeking a Client Operations Specialist to be the liaison between this company and their newest client–a large, highly regulated financial institution.
This position will involve data and file management, reconciliations, client communication, and problem solving in a role where targeted accuracy is at 99.5%. You’ll be reviewing spreadsheets, noticing and investigating discrepancies, fixing the balance sheets, and prevent repeat issues. There will be lots of training, so industry experience isn’t a must. What is required is the ability to thrive in a highly regulated environment with lots of data and shifting priorities – while still being a dependable go-to for our client.
DUTIES & DETAILS:
- Manage recurring daily client files, reports, reconciliations, and deliverables
- Process and monitor financial and account-level data according to established deadlines and client requirements
- Review files and reports for completeness and accuracy before delivery
- Complete reconciliations and investigate differences when data does not balance as expected
- Maintain a high level of accuracy while working efficiently in a deadline-driven environment
- Investigate failed files, exceptions, discrepancies, and other unusual results
- Identify patterns and potential root causes rather than simply reporting that a problem occurred
- Respond professionally to client and internal emails regarding files, data, processes, and operational questions
- Become a subject-matter expert on assigned client files, requirements, and operational processes
- Use Excel regularly to organize, review, compare, validate, and reconcile information
- Assist with special projects, system changes, audits, process documentation, and other client-related initiatives
- Communicate risks, competing priorities, and potential missed deadlines appropriately rather than allowing issues to go unaddressed
- Build effective working relationships with both the client and internal teams
- Extensive hands-on training provided
- Initial work will be performed closely alongside the team while learning client processes and requirements
- Monday-Friday, 8 5pm, with very occasional Saturday work not to exceed 40 hours a week
QUALIFICATIONS:
- High school diploma or equivalent required
- Bachelor’s degree preferred but not required
- No specific industry experience required

IF YOU HAVE THESE TRAITS, CONSIDER APPLYING:
- Exceptional attention to detail
- Commitment to producing accurate, complete work
- Strong organizational and task-management skills
- Comfortable working with numbers, calculations, data, etc.
- Able to manage a recurring workload with multiple deadlines and varying levels of complexity
- Strong critical-thinking and problem-solving abilities
- Natural curiosity and willingness to investigate why something occurred instead of accepting an unexplained result
- Ability to recognize patterns, connect related issues, and determine appropriate next steps
- Comfortable learning and consistently following established procedures
- Able to learn new technology, systems, processes, and terminology
- Working knowledge of Microsoft Excel, with the aptitude to develop stronger Excel skills through training
- Professional written and verbal communication skills
- Comfortable communicating directly with clients by email and phone
- Able to appropriately prioritize competing requests and communicate when deadlines or priorities conflict
- Capable of working independently after training while knowing when to escalate or ask for assistance
- SQL, MySQL, basic database querying, or similar technical experience is a plus but not required as training is provided
PAY & BENEFITS:
- $45k-$50k/year
- Full-time schedule of 40 hours per week
