Position Summary

The Front Desk Administrative Assistant serves as the first point of contact for a busy, professional law firm, delivering a welcoming and polished experience to all visitors, clients, and employees. This role supports daily office operations and provides administrative assistance across departments while maintaining a high level of organization, confidentiality, and client service.


Key Responsibilities:

Front Desk Support

  • Greet and assist clients, visitors, and employees in a friendly and professional manner
  • Answer and direct incoming calls, take messages, and manage voicemail systems
  • Coordinate conference room scheduling and maintain shared calendars
  • Monitor office access and ensure overall front desk security
  • Manage incoming and outgoing mail, packages, and deliveries

Administrative & Office Operations

  • Order and maintain office supplies, kitchen inventory, and equipment
  • Coordinate catering and support internal meetings and client-facing events
  • Submit building maintenance requests as needed
  • Assist with recordkeeping and data entry in internal systems

General Support

  • Assist with employee-related activities such as special events or recognition
  • Provide administrative support to various departments as needed
  • Support firm events and team activities
  • Complete additional tasks and projects as assigned

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent organizational and multitasking abilities
  • Ability to handle confidential information with discretion, especially in a legal environment
  • Self-motivated with the ability to work both independently and in a team environment

Job Type: Contract (600 hours) 
Pay Rate: $23.00/hour
Schedule: Monday – Thursday, 8:30 AM – 4:30 PM
