Key Responsibilities
- Serve as the first point of contact for clients, visitors, and vendors.
- Answer and direct incoming phone calls and email inquiries.
- Schedule appointments, meetings, conference rooms, and team calendars.
- Maintain electronic and physical filing systems with a high level of accuracy.
- Prepare, proofread, format, and distribute correspondence and business documents.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate incoming and outgoing mail, packages, and deliveries.
- Support the onboarding of new employees and maintain employee records.
- Process invoices, expense reports, and basic administrative accounting tasks.
- Assist attorneys and staff with administrative projects and operational needs.
- Ensure the office environment remains organized, professional, and efficient.
- Maintain confidentiality of client, employee, and firm information.
- Support special projects and other administrative duties as assigned.
Required
- 7+ years of office administration, administrative assistant, office coordinator, or similar experience.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to multitask and prioritize competing responsibilities.
- Professional demeanor and customer-service mindset.
- High attention to detail and accuracy.
- Ability to handle confidential information with discretion.
- Experience working in a professional office environment.
- Experience with scheduling software, document management systems, or CRM platforms.
- Associate’s degree or equivalent work experience.
- Salary range: $55,000–$65,000
