We are seeking a highly organized and professional Office Administrator to support the daily operations of a growing legal practice. This position is ideal for an experienced administrative professional who excels at managing office functions, coordinating schedules, maintaining records, and delivering exceptional customer service.

No legal experience is required. They provide training on firm-specific processes and legal systems. However, candidates must have prior office administration experience and a proven ability to manage multiple responsibilities in a professional business environment.

Key Responsibilities
  • Serve as the first point of contact for clients, visitors, and vendors.
  • Answer and direct incoming phone calls and email inquiries.
  • Schedule appointments, meetings, conference rooms, and team calendars.
  • Maintain electronic and physical filing systems with a high level of accuracy.
  • Prepare, proofread, format, and distribute correspondence and business documents.
  • Manage office supplies, equipment, and vendor relationships.
  • Coordinate incoming and outgoing mail, packages, and deliveries.
  • Support the onboarding of new employees and maintain employee records.
  • Process invoices, expense reports, and basic administrative accounting tasks.
  • Assist attorneys and staff with administrative projects and operational needs.
  • Ensure the office environment remains organized, professional, and efficient.
  • Maintain confidentiality of client, employee, and firm information.
  • Support special projects and other administrative duties as assigned.
Qualifications
Required
  • 7+ years of office administration, administrative assistant, office coordinator, or similar experience.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask and prioritize competing responsibilities.
  • Professional demeanor and customer-service mindset.
  • High attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
Preferred
  • Experience working in a professional office environment.
  • Experience with scheduling software, document management systems, or CRM platforms.
  • Associate’s degree or equivalent work experience.
Benefits/Compensation:
  • Salary range: $55,000–$65,000
