Our client is a well-established commercial real estate firm with a strong presence in the Columbia market. They are seeking an Administrative Coordinator who can serve as a trusted partner to a team of professionals, helping drive efficiency, maintain exceptional service standards, and support important client initiatives from start to finish.

This is more than a traditional administrative role. It is an opportunity to become a key member of a collaborative team while gaining exposure to commercial real estate transactions, marketing initiatives, and client relationship management.

What You’ll Do
As a critical member of the team, you will:
  • Serve as the primary administrative partner for commercial real estate professionals, helping coordinate priorities, schedules, and daily operations
  • Manage correspondence, calendars, meetings, and communication to ensure seamless workflow and responsiveness
  • Assist with the preparation, coordination, and processing of listing agreements, leases, contracts, proposals, and closing documentation
  • Maintain accurate property listings, databases, and transaction-related information
  • Create polished presentations, proposals, marketing materials, and client-facing documents using established branding and templates
  • Support business development efforts through document preparation, research, and marketing coordination
  • Serve as a professional point of contact for clients, vendors, and business partners, delivering a high level of customer service and professionalism
  • Utilize Microsoft Office applications to create reports, presentations, spreadsheets, and other business-critical materials
  • Help ensure projects, deadlines, and deliverables remain organized and on track
  • Provide general administrative and operational support as needed

Required Qualifications
  • 4+ years of administrative support experience within a professional services environment
  • Experience working with contracts, agreements, business documentation, or transaction-related paperwork
  • Exceptional organizational and time management skills
  • Strong attention to detail and commitment to accuracy
  • Ability to prioritize competing responsibilities while meeting deadlines
  • Professional verbal and written communication skills
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Strong interpersonal skills with a customer-focused mindset
  • A proactive, solutions-oriented approach and willingness to support team success

Preferred Qualifications
  • Experience supporting commercial real estate, property management, legal, financial services, or other professional services teams
  • Canva and/or Adobe InDesign experience
  • Presentation and proposal development experience
  • Real estate transaction or brokerage support experience
  • Associate’s or Bachelor’s degree in Business Administration, Marketing, Management, or a related field

Compensation & Benefits

  • $55K – $65K
