The Financial Operations Associate is a blend of operations, coordination, and administrative support. You’ll help keep daily activities running smoothly by managing tasks, supporting the team, and ensuring nothing falls through the cracks. It’s ideal for someone organized, proactive, and comfortable handling multiple priorities in a fast-paced environment. You’ll work behind the scenes to keep everything on track while supporting overall team success.
 
Responsibilities:
  • Serve as a primary point of contact for inquiries via phone, email, or in person
  • Support onboarding processes by coordinating documentation and ensuring a smooth experience
  • Maintain organized and accurate recordkeeping systems
  • Use AI tools where they help you move faster and produce better work
  • Process routine account activities, transactions, and updates (training provided)
  • Monitor and track incoming and outgoing requests
  • Follow up on outstanding tasks to ensure timely completion
  • Coordinate with external partners or vendors to resolve issues
  • Prepare materials, reports, and documentation for meetings
  • Track and execute follow-up items from meetings
  • Manage calendars, scheduling, and logistics
  • Provide general administrative and operational support across teams as needed
  • Assist with internal systems and tools setup
  • Maintain accurate and up-to-date records
  • Support periodic reviews, audits, or compliance-related tasks
  • Follow established processes and procedures
  • Utilize available technology and tools to improve efficiency and productivity
  • Handle sensitive information with discretion and confidentiality
 
Requirements:
  • Bachelor’s degree or equivalent experience
  • 2–3 years of experience in operations, administrative support, or a related field
  • Proficient in AI tools such as Claude and ChatGPT
  • Proficiency with Microsoft Office, including PowerPoint and Teams
  • Proficient in Slack
  • Strong communication skills, both written and verbal
  • Excellent organizational and time management abilities
  • Proficiency with common workplace tools (e.g., Microsoft Office, collaboration platforms)
  • Ability to manage multiple priorities independently
  • Experience in financial services or a regulated industry preferred
  • Experience with custodians like Schwab or similar platforms preferred
  • Familiarity with account management or operational processes
  • Interest in long-term career growth within the organization
Compensation & Benefits:
  • $60,000-$70,000, based on experience
