Responsibilities:
- Serve as a primary point of contact for inquiries via phone, email, or in person
- Support onboarding processes by coordinating documentation and ensuring a smooth experience
- Maintain organized and accurate recordkeeping systems
- Use AI tools where they help you move faster and produce better work
- Process routine account activities, transactions, and updates (training provided)
- Monitor and track incoming and outgoing requests
- Follow up on outstanding tasks to ensure timely completion
- Coordinate with external partners or vendors to resolve issues
- Prepare materials, reports, and documentation for meetings
- Track and execute follow-up items from meetings
- Manage calendars, scheduling, and logistics
- Provide general administrative and operational support across teams as needed
- Assist with internal systems and tools setup
- Maintain accurate and up-to-date records
- Support periodic reviews, audits, or compliance-related tasks
- Follow established processes and procedures
- Utilize available technology and tools to improve efficiency and productivity
- Handle sensitive information with discretion and confidentiality
Requirements:
- Bachelor’s degree or equivalent experience
- 2–3 years of experience in operations, administrative support, or a related field
- Proficient in AI tools such as Claude and ChatGPT
- Proficiency with Microsoft Office, including PowerPoint and Teams
- Proficient in Slack
- Strong communication skills, both written and verbal
- Excellent organizational and time management abilities
- Proficiency with common workplace tools (e.g., Microsoft Office, collaboration platforms)
- Ability to manage multiple priorities independently
- Experience in financial services or a regulated industry preferred
- Experience with custodians like Schwab or similar platforms preferred
- Familiarity with account management or operational processes
- Interest in long-term career growth within the organization
- $60,000-$70,000, based on experience
