Our client is seeking a highly organized and professional Administrative Assistant to provide temporary coverage for an Executive Assistant who will be on extended leave through October. 

The ideal candidate will quickly step into a fast-paced administrative environment, providing support to senior leadership while managing a variety of administrative and coordination responsibilities. 

Key Responsibilities
  • Manage complex calendars, scheduling, and meeting coordination for leadership team members.
  • Coordinate domestic and occasional international travel arrangements, including itineraries, accommodations, and logistics.
  • Support board-related activities, including meeting preparation, agenda development, materials distribution, and coordination with board members.
  • Serve as a liaison between executives, board members, vendors, and internal stakeholders.
  • Assist with confidential correspondence, reports, presentations, and other administrative documents.
  • Coordinate vendor communications and maintain productive working relationships with external partners.
  • Track deadlines, appointments, and action items to ensure timely follow-up.
  • Organize meetings, events, and special projects as assigned.
  • Maintain confidentiality and professionalism while handling sensitive information.
  • Provide general administrative support to leadership and other team members as needed.
Qualifications
  • Minimum of 1+ years of administrative support experience; executive support experience preferred.
  • Strong calendar management and scheduling experience.
  • Experience coordinating travel arrangements and meeting logistics.
  • Excellent organizational and time management skills with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Professional demeanor with the ability to interact effectively with executives, board members, and external partners.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Qualifications
  • Experience supporting senior executives or leadership teams.
  • Previous exposure to board meeting coordination and board communications.
  • Experience working with vendors and external stakeholders.
  • Strong problem-solving abilities and a proactive approach to administrative support.
Compensation & Benefits
  • Monday – Friday schedule, 8:30 a.m. – 5 p.m.
  • $45k – $55k, based on experience 
  • Weekly pay during contract with FGP
