We are seeking a professional, customer-focused Bilingual Customer Service Representative/Administrative Assistant to support daily office operations and provide exceptional service to customers, visitors, and internal stakeholders. This individual will serve as the primary point of contact for customer inquiries, administrative support, and front desk functions while ensuring a positive customer experience.

The ideal candidate is organized, detail-oriented, fluent in both English and Spanish, and able to manage multiple priorities in a fast-paced environment. This job in full time and on-site. 

Key Responsibilities

Customer Service

  • Greet and assist customers, visitors, and vendors in a professional manner.
  • Answer and direct incoming phone calls and emails.
  • Respond to customer inquiries, requests, and concerns promptly and professionally.
  • Educate customers on available services, processes, and billing information.
  • Maintain a high level of customer satisfaction through effective communication and problem resolution.

Administrative Support

  • Provide administrative and clerical support to department leadership and staff.
  • Schedule appointments, meetings, and conference room reservations.
  • Prepare reports, maintain records, and compile data as needed.
  • Process requisitions and assist with departmental purchasing activities.
  • Support travel arrangements and calendar management when required.

Data Entry & Records Management

  • Maintain accurate customer and departmental records.
  • Perform data entry and document management tasks.
  • Scan, file, organize, and distribute electronic and physical documents.
  • Review account information and assist with record updates.

Office Operations

  • Order and maintain office and breakroom supplies.
  • Process incoming and outgoing mail.
  • Manage visitor access and security credentials as required.
  • Coordinate maintenance and service requests for office equipment.
  • Maintain and update departmental procedures and documentation.

Financial & Payment Processing

  • Receive, process, and track customer payments.
  • Issue receipts and maintain payment records.
  • Assist with invoice processing and related administrative duties.
  • Reconcile company credit card statements and expense reports.

Team Support

  • Cross-train and assist team members as needed.
  • Participate in training programs, workshops, and staff meetings.
  • Perform additional duties as assigned.

Qualifications

Required
  • High school diploma or GED.
  • Minimum of two (2) years of customer service, administrative support, receptionist, or related experience.
  • Fluent in both English and Spanish (written and verbal).
  • Proficient in Microsoft Word and Microsoft Excel.
  • Valid driver’s license.
  • Strong organizational, communication, and multitasking skills.
 
Preferred
  • Associate’s or Bachelor’s degree in Business Administration, Office Administration, or a related field.
  • Experience working with customer information systems, databases, or enterprise software applications.
  • Experience handling customer payments and maintaining records.

Compensation & Benefits

  • $21 – $27 hourly, based on experience
