We are seeking a detail-oriented Customer Service Specialist to join a growing operations team in Virginia Beach, VA. This role offers a dynamic blend of customer support, administrative coordination, and operational responsibility, with potential for long-term growth.
This is a temp-to-hire position with a stable, growing company!
Responsibilities:
- Serve as the first point of contact by answering incoming calls, assisting walk-in customers, and routing inquiries appropriately
- Manage incoming shipments from vendors and internal locations, ensuring accurate receipt and documentation
- Update and maintain purchase orders in internal systems
- Participate in quarterly inventory counts and maintain accurate inventory records
- Process depot/service repairs, including creating service orders and coordinating shipments to third-party repair providers
- Track and manage the return and delivery of repaired equipment to customers
- Generate and process invoices for sales and service orders within designated timelines
- Upload invoices to customer portals as required
- Process customer payments, including credit card transactions
- Maintain accurate customer account records and collections notes
- Coordinate weekly payment processing and documentation
- 2-3 years of experience in customer service, office management or administrative support
- Strong organizational skills with high attention to detail
- Comfortable managing multiple tasks in a fast-paced environment
- Experience with inventory tracking, billing, or order processing systems preferred
- Basic accounting or accounts receivable knowledge is a plus
- Proficient in Microsoft Office (Excel, Outlook, Word)
- Strong communication and problem-solving skills
- High school diploma or equivalent required; additional education is a plus
- $17–$22 per hour, based on experience
